Who is responsible for your data

YOIK AB (HELWIT) and DIA NORDICS AB (DIA) organise the HELWIT Invitational together and are jointly responsible for the personal data you give us when you reply to your invitation.

DIA manages the RSVP list and handles all questions and requests about your data on behalf of both companies. You can reach us at info@digitaliconagency.com. You can also contact either company directly.

What we collect

• Everyone who replies: name, email address and your reply (attending as a player, attending as a guest, or not attending).
• If you attend: phone number, age, and Instagram and TikTok handles.
• Players also give: a postal address and their Connect 4 experience level.
• If you bring a +1: their name and their Instagram and TikTok handles. Please let your +1 know you are sharing these details and point them to this notice.

Why we use it

• To keep the guest list, manage the 32 player places and the reserve list, and contact you about the event.
• To send players their physical invitation and gift by post, using the address you give us.
• To check at the door that guests are 18 or over and on the list.
• To recognise you on the night and to tag you in posts from the evening on HELWIT's and DIA's social media channels.

We do not use your details for marketing or newsletters, and we do not sell them.

Legal basis

We process your details because we have a legitimate interest in organising an invite-only event that you have asked to attend (GDPR Article 6(1)(f)). Without the details marked as required, we can't confirm your place.

Who else sees it

• Google: we store the RSVP list in Google Sheets.
• Our website host: the RSVP form runs on our website.
• Postal or courier services: they deliver invitations to players.
• The venue, G.A.T.: only if it needs the guest list for entry.

Some of these providers may process data outside the EU/EEA. Where they do, the transfer is covered by the EU–US Data Privacy Framework or the European Commission's standard contractual clauses.

How long we keep it

We delete the RSVP list no later than 31 December 2026. The only exception is anything we're legally required to keep.

Your rights

You can ask for a copy of your data, have it corrected or deleted, object to how we use it, or ask us to limit how we use it.
